The Brighton Trail Marathon 2022 is organised and administered by The Grounded Events Company Limited (Co. No.6363644) whose registered office is at Preston Park House, South Road, Brighton, East Sussex BN1 6SB (“we” or “us” which expression includes our employees, event officials, authorised agents, sub-contractors or volunteers)

Disclaimer

Participants accept that marathon running is only for persons with a high degree of physical fitness and who have undertaken a lengthy and appropriate training regime. It is your responsibility to seek appropriate medical advice prior to participation. Participation in the event is entirely at your own risk and, by entering the event, participants acknowledge that we shall not be liable for death, injury, loss or damage arising from participation in the event save to the extent that it is caused by our negligence.

You confirm that all details provided by you in the registration form are true, and that you understand and agree with these Terms & Conditions, and Rules of the Race.

Injuries and Personal health and fitness

By signing up to take part in this event you accept complete responsibility for any injury or accident which may occur while you are travelling to or from the event, during the event, or while on the premises of the event save to the extent any injury or accident is caused by our negligence.

You understand that participating in this event is potentially hazardous, and you should not enter and participate unless you are medically able and properly trained.

We recommend that you consult your doctor prior to undertaking training for a marathon. It is your responsibility to make sure you are medically fit and capable of running the Brighton Trail Marathon. We reserve the right, in our absolute discretion, to stop any runner from taking part if we deem him or her unfit to run, including mid-race removal from the course where necessary.

Medical treatment while attending the Brighton Trail Marathon

By entering this event, you are confirming that should you require any medical treatments during your attendance at the event, whether before, during or after the actual run, they may be administered by the events’ official medically qualified personnel.

COVID-19 

You must not attend the event if you are displaying symptoms for COVID-19 or have displayed symptoms for COVID-19 in the last 14 days leading up to the event. Symptoms include:

  1. A high temperature
  2. A new, continuous cough
  3. A loss or change to your sense of smell

If you develop symptoms within 14 days of attending the event you must notify us.

By entering the event you are consenting to us passing on your contact details if required, to the relevant authorities for the purposes of Track and Trace.

Entry

Participants must be 18 years of age and over in order to enter this event.

You must not under any circumstances give your race number to anyone else. Amongst other potential problems, doing so may cause problems of identification for the event medical services in the case of any accident or injury. Any attempt to do so will result in immediate disqualification of the individual(s) concerned and ejection from the event.

Refunds, Transfers and Deferred Entries

Cancellations and Transfers

You will be able to cancel your entry, and receive a full refund, within 14 days of your purchase. In such circumstances, you will receive a full refund of your entry fee. The processing fee is non-refundable and an additional processing fee of £1.45 will be deducted from the total amount refunded.

Cancellations are not possible unless we receive your written request within 14 days of your purchase.

Alternatively, you may, by contacting us in writing prior to 11:59pm on the 31st December 2021, transfer your entry to another runner. Any such transfer will be made by us re-registering the entry in the name of the alternative runner who will be required to accept the terms and conditions of entry prior to the transfer being completed.

Transfers are not possible unless we receive your written request prior to 11:59pm on the 31st December 2021.

Deferrals

If you wish to defer your 2022 race entry to the 2023 Brighton Trail Marathon, you are able to do so. You are guaranteed an entry for the 2023 Brighton Trail Marathon, but you will be required to purchase a £25 deferral by 11:59pm on the 22nd June 2022.

You must complete your 2023 registration by 11:59pm on the 1st May 2023 – failure to do so will result in loss of entry.

Transfer to the Brighton Trail 10k

Should you no longer be able to complete the marathon distance but wish to take part in the Brighton Trail 10k, you are able to transfer your entry which will incur a small processing fee. Requests to do so may be arranged by contacting us in writing prior to 11:59pm on the 30th April 2022.

If the Brighton Trail 10k entries are closed, you will be required to pay an additional £5 transfer fee.

This does not affect your ability to defer your Brighton Trail Marathon entry to the 2023 event.

Race Packs, Numbers and Participant T-Shirts 

Race packs will be posted to your registered postal address. You accept full responsibility to ensure that your contact information including postal address, email address and contact telephone number are up to date at all times. Failure to do so could result in not receiving important communications or your race pack.

Please complete the relevant medical details on the back of the race number if you have any medical condition or are taking any medication(s). Under no circumstances are you allowed to sell or give your race number to someone else and any attempt to do so will result in your entry being cancelled.

Travelling to and from the event

You are entirely responsible for all travel to and from the event and we will not be liable if you miss the start of the event as a result of any transportation delays. In these circumstances, you must allow plenty of time in order to make sure that you arrive so as to be entirely ready to run when the event starts.

Cancellation and Alterations to the event

We reserve the right, in our absolute discretion, to cancel, delay, alter or shorten the course, or postpone the event due to unforeseen or unavoidable circumstances outside of our reasonable control. In such cases, we will endeavour to inform participants as quickly as is possible.

Where the event has to be cancelled, delayed, altered or postponed due to circumstances outside of our reasonable control (including for the avoidance of doubt due to adverse weather conditions or as a result of instructions from the emergency services or local authority) we shall not be liable for any inconvenience, expenses, costs, losses or damages suffered by participants.

Where the event has to be cancelled, delayed, altered or postponed due to circumstances that were within our reasonable control, our entire liability in respect of any inconvenience, expenses, costs, losses or damages suffered by you as a result will be limited to the entry price you have paid to take part in the event.

Animals / Canicross

Animals will not be permitted on the Brighton Trail Marathon course under any circumstance. We are unable to allow guide dogs on the course but can offer a free place to guide runners.

Bikes, stilts, roller skates, skate boards, buggies, etc.

Participants are not permitted to use any of the above or similar in the event and those attempting to do so will be prohibited from starting and may be forcibly removed from the course, including mid-race where necessary. Likewise, anyone attempting to start or join the race in any outfit that we, in our absolute discretion, deem unsuitable and/or dangerous to other competitors or spectators, will not be allowed to start the event or, if on the course, may be forcibly removed from the event.

Music while running

Please do not use a personal music-playing device whilst participating in this event.

 

You will be held strictly and solely liable if found to be responsible for any harm to yourself or any third party or parties or damage to any property (whether yours or that of a third party) which arises as a result of you wearing any personal music playing device in contradiction of this advice.

Race Ejection

We reserve the right, in our absolute discretion, to refuse to allow you to participate in the event either at the start or to continue participation at any point along the route of the event, should you be deemed to behave inappropriately or give cause for concern that your continued participation may cause offence or injury to yourself, any spectators or other competitors.

This includes the wearing of any clothing or visual messages that may cause offence. Failure to comply with any instruction from race officials and marshals will result in ejection from the race and may also result in you being reported to the police.

Finisher Items

Only those who finish the Brighton Trail Marathon will be entitled to any finisher’s items. Please do not ask for more than one as marshals have been instructed to only issue one per person and your receiving more than one will deny another Finisher from receiving one or more of these items.

Merchandise

We provide various pieces of merchandise for purchase in connection with the event. These can be purchased at the time of booking or by signing back in to your registration/account, and through our online Shopify store. Please note that we process orders such that we expect to be able to supply the same to you within one month of the order being placed. Please note that we are unable to guarantee delivery times and that any merchandise ordered within the period of one month prior to the event may not be delivered to you until after the event.

Use of Image

By taking part in the event you grant full and irrevocable permission to us, as organisers of the Brighton Trail Marathon, and any third parties authorised by us to use any photographs, videotapes, motion pictures, website images, recordings or any other record of this event that may include your image.

Collection and use of information

Your personal information will only be used by us and any appointed third parties for purposes in connection with the event and any subsequent events that we may organise or administer.

You will only be emailed as per the permissions that you have given within the registration form.

By entering the event you grant full and irrevocable permission for us to pass any medical details you have given us to the medical teams operating on the day of the event.

By entering the event you are consenting to us passing on your contact details if required, to the relevant authorities for the purposes of Track and Trace.

Change of postal address, email address or telephone number(s)

If your postal address, email address or telephone number details change, then you must inform us as soon as possible by emailing: info@brightontrailweekend.co.uk. If this is not done, we cannot guarantee that you will receive all event communications.

When completing your registration, you are given the option to purchase a protection policy for your entry into the event.
